It’s always best to consult with your venue to get an idea of event floorplan ideas and options. They know their event space well and may be able to provide you with pictures and sample event floorplans that are similar to the event you are planning.

In addition to consulting with your venue, ask yourself the following 5 questions in order to create your event floorplan.
How many guests are you expecting?
This is important because having an idea of how many people you need to accommodate will assist you in realizing just how much space you need for seating. Knowing your guest count will help you to determine how many tables and/or furniture pieces you will need to include in your event floorplan.
Are you expecting children at your event?
Events such as Bar/Bar Mitzvah’s and Sweet 16’s which involve primarily younger guests may impact your floor plan. These events often feature lounge style seating surrounding a dance floor. With this in mind, if having both children and adults, you may want to combine tables with assigned seating for the adults and lounge style seating for your younger guests.
What type of event space are you working with?
Knowing this will help you to understand any possible limitations when designing your event floorplan. Are you working with a wide open space or do you have specific parameters to follow?
What type of seating is available at the venue?
It’s important to ask your venue what type of seating they provide in-house to determine if their tables and furniture will meet the needs for your event. Do they have round tables? Rectangular tables? Is there lounge furniture available or do you need to think about rentals?
Will there be music and entertainment at your event?
If so, you will want to arrange your event floorplan taking into account the dance floor and staging area when designing the layout.
